Objective of the tours: To open up ILRI and present ILRI’s work to the wider world and to the internal ILRI community in a non-scientific manner. There will be a total of 9 stations organized in 3 hubs around ILRI so that our guests are in groups of around 10-12 people and get a tour to understand better our various activities. We will thus manage to have around 100 people (guests and staff) touring ILRI Nairobi in one afternoon while keeping it manageable for the units hosting the tour stations with only 10-12 people in a station each time.

Lab hub with three stations: 1. BecA; 2. Vaccines and Diagnostics; 3. Genetics and Biorepository InfoCentre hub with three stations: 1. FEAST; 2. CapDev; 3. GIS tools and data portals Mara House hub with three stations: 1. PTVC; 2. IBLI; 3. FSZ

Participants will register for the tours as they register to ILRI@40 in the morning.

Expectations and implications for ILRI units hosting a tour station: To explain what you do, the main objective of your work, some examples of achieved or expected outputs, and giving out brochures or other public audience materials about your work.

You should make available at least one person from your unit to present work at your station. For each group visiting your station, count 5 minutes for a very quick presentation followed by 5 minutes for discussions, questions and answers, probably answered by pointing towards a poster, a flyer or a URL where more information can be found. The persons showcasing your work should be available for two afternoons dedicated to the event: Friday 19 September 14.00-15.30 for a trial run by organizers led by the ushers. This will include 30 minutes debriefing in the InfoCentre to discuss improvements to presentations, logistics, etc. You should have the materials for your 5-minute presentation ready by then to present it three times to three different groups during the trial run. Wednesday 1st October 14.00-17.00 for outside guests and ILRI staff members on ILRI@40 conference day in Nairobi; this will be followed by a cocktail party for everybody. You need to have your 5-minute presentation ready, and all other posters, flyers and brochures printed for the day.

The locations of the different stations have been booked all day by organizers for 19 September and 1st October so as to allow you to prepare your material in time for the trial run and the big day. Three tents for outdoor stations will be paid by ILRI@40. However, on the trial run 19 September organizers will only provide a large table, one flipchart stand with markers and a vertical board to represent your station (hoping it will not rain...).

For all stations, it is your responsibility and you should identify an appropriate charge code to make sure that your materials are ready in time for presentation on both days + distribution on 1st October.

Jackie Mayira is organizing a team of volunteers who will be assigned to be the usher of each group. They will keep time and usher their group to the three different hubs of the tour, and to the three different stations within each hub according to a pre-established itinerary. ILRI Security Officers will be positioned at magnetic doors to allow access of the groups into Mara House and Labs. Unit hosts just need to focus on showcasing your work.
