Agenda: Updates on key action points

Eventbrite

  • Muthoni to follow up with Tsehay on setting this up and getting the link [urgent!]

Invitee follow-up

  • Joyce, Muthoni and Teresa to make follow-up calls tomorrow [5 Sep] to people who have not yet responded to the email invite
  • We need to send the eventbrite link to those who have confirmed so they may register

Publications display and dissemination

  • Paul and his team will be in charge of display and dissemination of publications on the list Susan has compiled.
  • Tezira will be the taskforce point of contact with the publications team

Campus tours

  • Henry to find out today from Vish and Steve whether we will have stations from vaccines and genetics teams (we still only have BecA from the biosciences side)
  • BecA will have one station at the Lab 7 area
  • CapDev station: Ethel to provide BecA capdev materials for display at the CapDev station
  • Organizers to email the confirmed station volunteers tomorrow [5 Sep] with information on how to prepare
  • Teams need to be informed that any posters to be printed in-house should be sent to Paul latest Monday 15 Sep
  • Dry run on 19 Sept; may be logistically tricky to have staff tour on this day
  • Staff can join tour on 1 October; set 30 slots for staff to sign up on first come, first served basis then the remaining slots can be for the invited guests
  • Three small tents needed for Mara House displays
  • Route needs to be finalized: Jo, Henry, Ethel, Timothy King’ori, Julius Osaso and Jackie Mayira to meet next week to agree on the route. Henry to set up the meeting.

Livestream

  • Tezira to follow up with ICT team to arrange for setting up the livestream of the morning session

Communications plan

  • Tezira has prepared the detailed communications plan for the event; this is good to go and will be shared with the team

Media coverage

  • We will not have a press briefing. Instead, Muthoni will send out a media advisory to local media to invite them to attend the event.
  • Advisory to be sent on Monday 22 Sep
  • Muthoni to draw up a detailed media plan

Internal publicity

  • Roll-out of the publicity plan to begin tomorrow; Muthoni to announce at Friday morning coffee

Keynote speaker

  • Still awaiting confirmation from Papa Seck [he is currently on leave]
  • Modibo Traore, who has confirmed attendance for the panel, is a fall-back option

Discussants

  • Simon Carter (IDRC), Jacques Lancon (CIRAD) confirmed
  • Djime Adoum’s co-director is attending so may be one of the discussants
  • Still waiting for response from UG minister of livestock

Speaker bios

  • Nadine to get bios and photos from confirmed speakers/panellists so that we can start drafting speaker bios and update the web page

Deposit Kate to follow up with Patrick if he has raised a PO to pay the deposit to secure the grounds

Signage Anthony to coordinate with Engineering so that work on the temporary signage can begin asap
